Business Systems Manager 

GDS Wealth Management is seeking a highly technical, systems-oriented Business Systems Manager to serve as the architect and long-term owner of our core client technology ecosystem.

With more than $1.8B in assets under management and a rapidly growing team, this position provides the opportunity to play a central role in ensuring our systems scale with the firm while remaining efficient, reliable, and aligned with how we serve our clients.

Your Impact

As the Business Systems Manager, you will lead the design, optimization, and governance of our Salesforce environment and its integration with HubSpot, Orion, and other key platforms.

You will serve as the technical backbone of our Digital Client Experience, ensuring Salesforce remains the firm’s “Golden Source” of truth. This role combines system architecture, automation, and data governance to support Advisors, Operations, Marketing, Compliance, and external technology partners.

Working alongside external implementation partners currently building and refining workflows, you will ensure continuity, knowledge transfer, and long-term system stability, with the expectation of transitioning to full internal ownership of systems and automation.

Applying Salesforce best practices alongside SEC considerations, you will deliver secure, scalable solutions that support complex financial data and enable long-term firm growth.

Key Responsibilities

CRM & Systems Ownership

  • Own and manage Salesforce and HubSpot as core firm systems
  • Maintain system architecture, configurations, fields, permissions, and overall platform health
  • Ensure systems are scalable, secure, and aligned with advisor and client workflows
  • Serve as the internal expert and steward of CRM strategy, governance, and data integrity
  • Ensure system configurations align with data privacy expectations and regulatory requirements

Automation & Process Optimization

  • Maintain and enhance workflows implemented by external consultants
  • Serve as the internal subject matter expert responsible for troubleshooting, optimizing, and extending existing automations
  • Improve processes including lead management, client onboarding, and ongoing service workflows
  • Identify inefficiencies and implement scalable, system-driven solutions
  • Ensure all workflows are documented, maintainable, and aligned with business processes

Integrations & Data Management

  • Manage integrations across Salesforce, HubSpot, Orion, and other firm systems
  • Oversee bi-directional sync between Salesforce and HubSpot, including lead-to-client conversion mapping
  • Ensure accurate data flow, field mapping, and system interoperability
  • Monitor and resolve sync issues, duplicates, and data inconsistencies
  • Maintain strong data governance, hygiene, and audit-ready practices
  • Support data security controls and audit capabilities (e.g., Shield, Event Monitoring, audit trails)

Collaboration, Support & Continuous Improvement

  • Translate business needs into scalable system solutions across teams
  • Support user adoption through training and ongoing system support
  • Act as primary liaison to MSP for support and escalations
  • Partner with external consultants to ensure knowledge transfer and long-term ownership
  • Partner with Compliance on supervision, documentation, and audit readiness
  • Evaluate, enhance, and scale systems to support firm growth

Qualifications

Experience & Education

  • 5–7+ years of experience in Salesforce administration, CRM systems, or business systems roles
  • Experience in financial services or wealth management strongly preferred
  • Bachelor’s degree in Business, Information Systems, Business, Finance, or related field
  • Salesforce Admin certifications and HubSpot certifications (Implementation and Marketing Hub Software)

Knowledge & Skills

  • Deep expertise in Salesforce (Sales Cloud and/or Service Cloud) and strong experience with HubSpot, including Salesforce–HubSpot integrations
  • Proven ability to design, build, and troubleshoot workflows, automation, and scalable system configurations
  • Strong understanding of CRM data architecture, integrations, and data governance best practices
  • Experience with data security tools (e.g., Shield, Event Monitoring, audit trails) and maintaining data integrity in regulated environments
  • Strong analytical and problem-solving skills with the ability to operate effectively in a fast-paced, growth-oriented environment
